Who is responsible for your information?
Solent SEO is a trading name of Purpley Agency Limited, company number 13772548. Purpley Agency Limited is the data controller for the personal information described in this policy.
Solent SEO is based in Southampton, Hampshire, United Kingdom. You can contact Misitia about privacy or data protection by emailing hello@solent-seo.co.uk or calling 07831 927941.
Information Solent SEO may collect
Depending on how you contact or work with Solent SEO, the information handled may include:
- your name, email address, telephone number and business name;
- information you include in an enquiry, email, telephone call or WhatsApp message;
- information about your website, services, objectives and requested work;
- quotes, project correspondence, contracts and records of work completed;
- billing details, invoices and payment status, but not full payment-card details handled by a payment provider; and
- limited technical information generated when the website is requested, such as security and server logs.
Please avoid sending sensitive personal information unless it is genuinely necessary for the matter you are discussing.
How and why information is used
Enquiries and quotations
Contact details and enquiry information are used to answer questions, understand the requested work, prepare a quotation and take steps towards a possible contract. The lawful bases are taking steps at your request before entering into a contract and, where appropriate, Solent SEO’s legitimate interest in responding to genuine business enquiries.
Providing SEO services
If you become a client, relevant information is used to agree, manage and deliver the requested services, communicate about the work and maintain appropriate project records. The principal lawful basis is performance of a contract.
Payments, accounting and legal records
Transaction, invoice and accounting information may be used to collect payment, maintain financial records, deal with disputes and comply with tax or other legal requirements. The lawful bases are performance of a contract, compliance with legal obligations and legitimate interests in protecting and administering the business.
Website security and performance
Limited technical logs and aggregate performance information may be used to keep the website secure, diagnose faults and understand how well pages perform. The lawful bases are legitimate interests in operating a secure, reliable website and compliance with applicable security obligations.
Marketing
Submitting an enquiry does not automatically subscribe you to a marketing list, and this website does not currently offer a newsletter sign-up. Any direct marketing will be sent only where permitted, using an appropriate lawful basis and a simple way to opt out.
How the enquiry form works
The enquiry form sends the details you provide through a secure Cloudflare Worker and Resend’s email-delivery service to Solent SEO’s email address. Cloudflare and Resend process the submission in transit so the message can be delivered, but the website does not maintain a separate database of form submissions. The resulting message is stored by Solent SEO’s email provider and handled under the enquiry and retention terms in this policy.
Service providers and sharing
Personal information is not sold. It may be shared only where necessary with service providers or professional advisers, including:
- Cloudflare, which provides website delivery, security, technical logging and privacy-conscious performance analytics;
- Resend, which transmits enquiries submitted through the website form;
- email and communications providers, which transmit and store messages;
- WhatsApp and Meta, if you choose to contact Solent SEO using WhatsApp;
- Stripe, where it is used to process a payment or provide a hosted payment page;
- accounting, legal or technical advisers where their assistance is reasonably required; and
- public authorities where disclosure is required by law.
When you choose to use a third-party service such as WhatsApp or Stripe, that provider also handles information under its own privacy terms.
International processing
Some technology providers may process information outside the United Kingdom. Where a restricted international transfer applies, Solent SEO will use an applicable UK adequacy regulation, contractual safeguard or another transfer mechanism permitted by UK data protection law. You may contact Solent SEO for more information about the safeguards relevant to your information.
How long information is kept
- Enquiries and quotations that do not become client work are normally kept for no longer than 24 months after the last meaningful contact.
- Client contracts, project correspondence and related records may be kept for up to six years after the work ends where needed to manage legal, contractual or professional responsibilities.
- Invoices and accounting records are kept for the period required by tax and accounting law, which may extend beyond the end of the client relationship.
- Security and technical logs are retained only for the period reasonably required by the hosting and security provider.
Information may be kept for longer where a dispute, legal claim, regulatory requirement or fraud-prevention need makes this necessary. It will be deleted or anonymised when it is no longer required.
Cookies and website analytics
The Solent SEO website does not currently use advertising cookies, behavioural tracking cookies or browser storage for analytics. No cookie-consent banner is shown because the current website does not set non-essential cookies that require consent.
Cloudflare Web Analytics may be injected by the hosting platform to provide aggregate page-view and performance information. Cloudflare states that this service does not use cookies, local storage or fingerprinting to identify visitors. Cloudflare may receive a source IP address as part of normal internet transmission, but states that the Web Analytics beacon discards it at the nearest data centre rather than storing it in its analytics databases.
If non-essential cookies or comparable tracking technologies are introduced in future, this policy will be updated and an appropriate consent or objection control will be provided before those technologies are used.
Security
Solent SEO uses proportionate technical and organisational measures to protect information, including access controls and reputable service providers. No internet or email system can be guaranteed completely secure, so please do not send confidential credentials, passwords or full payment-card details by ordinary email or WhatsApp.
Your data protection rights
Depending on the circumstances and lawful basis, you may have the right to:
- ask for a copy of your personal information;
- ask for inaccurate or incomplete information to be corrected;
- ask for information to be deleted;
- ask for processing to be restricted;
- object to processing based on legitimate interests or direct marketing;
- receive certain information in a portable format; and
- withdraw consent where consent is the basis being used.
These rights are not absolute and an applicable legal exception may sometimes allow or require information to be retained. Solent SEO does not use personal information for solely automated decisions that produce legal or similarly significant effects.
Privacy questions and complaints
To exercise a right or raise a data protection complaint, email hello@solent-seo.co.uk. Please describe the information or concern clearly. Solent SEO may ask for proportionate evidence of identity before disclosing personal information.
Data protection complaints will be acknowledged within 30 days, investigated without undue delay and answered with an explanation of the outcome. If you remain dissatisfied, you may complain to the Information Commissioner’s Office or call its helpline on 0303 123 1113.
Changes to this policy
This policy will be reviewed when the website, services or data-handling practices change. The date at the top shows when it was last updated.
